By registering for a professional development course with CodeVA, you acknowledge that you have read, understood, and agreed to abide by these Terms of Service. If you have any questions or concerns regarding these terms, please contact CodeVA at info@codevirginia.org

Effective Date: May 17, 2023

Please read these Terms of Service carefully before registering for a workshop with CodeVA. By registering for a course or event, you acknowledge that you have read, understood, and agreed to be bound by the following terms and conditions:

Section 1: Eligibility to Participate

Age Restrictions: Eureka Workshop camps and workshops are open to participants within the specified age range as indicated in the camp or workshop description. Required Permissions: Participants under the age of 18 must obtain parental or guardian consent to participate.

Section 2: Tuition/Fees/Payments

Tuition and Fees: Tuition fees for Eureka Workshop camps and workshops will be communicated during the registration process. Payment is required to secure your registration. Payment Terms: Participants are responsible for paying the specified tuition and fees by the designated deadline.

Section 3: Course Registration

Registrations open on a rolling basis.

In Person Offerings: Registrations close the Friday before classes begin.

Accuracy of Information: By registering for a course, you agree to provide true, accurate, current, and complete information about yourself (registrant) and any participant you are enrolling. You also agree to update this information promptly if there are any changes.

Confidentiality: You are responsible for maintaining the confidentiality of your registration details, including your password, and for all activities that occur under your account.

Section 4: Rescheduling

By CodeVA: CodeVA reserves the right to reschedule a camp or workshop for any reason. In such cases, registrants will be notified in advance, and reasonable efforts will be made to accommodate participants' schedules.

By Participant: Registrants may request to reschedule their camp or workshop participation. CodeVA will review such requests on a case-by-case basis and accommodate them if feasible, subject to availability and additional fees, if applicable.

Section 5: Cancellation

By CodeVA: CodeVA may cancel a camp or workshop due to unforeseen circumstances, including insufficient registrations, inclement weather, or instructor unavailability. In the event of a cancellation, registrants will be notified, and alternative arrangements may be offered, including rescheduling or a refund to their original payment source.

Enrollment Minimums: CodeVA requires a minimum of 3 to 5 participants (depending on class structure) to run a class. If the enrollment minimums are not met two weeks before the session, registrants will be notified that there is low enrollment. One week prior, if enrollment minimums have not been met, the course will be cancelled.

By Registrant: Registrants may request to cancel their registration using the process outlined below.

Cancellation Process: To cancel your registration, regardless of whether it is a free or paid registration, please follow the steps below:

Notification: Registrants may refer to their course instructions email for directions on how to self-cancel a course registration. Registrants may also log in to their customer portal and cancel a course registration.

Deadline: Cancellations must be received by our team no later than 14 days prior to the start date.

Confirmation: Our registration team will acknowledge your cancellation request and provide confirmation via email. Please retain this confirmation for your records.

Section 6: Transfers

Registrants may transfer a registration to another camp or workshop by emailing camps@codevirginia.org as long as their is no difference in cost. For camps or workshops with a different cost, the registration must be cancelled and a new registration must be created. Cancellation costs may be incurred by the registrant.

Section 7: Refunds

Administrative Fee CodeVA charges $20 to cover administrative fees for all cancelled camps and workshops. Any registrations or cancellations received after the 14 day cancellation deadline will not be eligible for a refund.

Eligibility for Refunds: Refunds, if available, are subject to the terms and conditions of the refund policy and may be limited to certain circumstances or timeframes.

Section 8: Liability

Assumption of Risk: Participation in Eureka Workshop camps and workshops is at your own risk. CodeVA is not responsible for any injuries, damages, or losses that may occur during or as a result of the course.

Limitation of Liability: To the fullest extent permitted by law, CodeVA, its instructors, employees, and affiliates shall not be liable for any direct, indirect, incidental, special, consequential, or exemplary damages arising from or related to the camp or workshop.

Section 9: Intellectual Property

Ownership: All intellectual property rights, including but not limited to materials, curriculum, and resources, provided during the course, are the property of CodeVA or its licensors.

Use Restrictions: Participants agree not to reproduce, distribute, modify, or create derivative works of any course materials without permissions provided by an authorized member of CodeVA's executive leadership.

Section 10: Copyright

Compliance with Copyright Laws: Participants shall comply with all applicable copyright laws and respect the intellectual property rights of CodeVA and third parties. Infringement: Any unauthorized use or distribution of copyrighted materials is strictly prohibited and may result in legal consequences.

Section 11: Confidentiality

Confidential Information: Participants may be exposed to confidential and proprietary information during the course. Participants agree to maintain the confidentiality of any information designated as confidential by CodeVA or other participants.

Non-Disclosure: Participants shall not disclose or share confidential information obtained during the course without the express written consent of CodeVA.

Section 12: Use of Data

In accordance with our mission to scale high quality computer science education across Virginia, CodeVA engages independent third parties (“Evaluators”) to evaluate our work. You grant CodeVA and its Evaluators the right to use anonymized data including User Content from this Site in educational research and evaluation activities including presentations, reports and other dissemination activities in perpetuity.

Section 13: Termination

CodeVA's Right to Terminate: CodeVA reserves the right to terminate a participant's access to a camp or workshop at its sole discretion, without prior notice, if the participant violates these Terms of Service or engages in conduct that is deemed inappropriate, disruptive, or harmful.

Participant's Right to Terminate: Participants may terminate their participation in the course by providing written notice to CodeVA. Refund eligibility, if applicable, will be determined according to the cancellation policy in Section 7.

Section 14: Course Content

Accuracy and Completeness: CodeVA makes reasonable efforts to ensure the accuracy and completeness of the course content. However, CodeVA does not warrant or guarantee the accuracy, reliability, or usefulness of the content.

Changes to Course Content: CodeVA reserves the right to modify or update the course content at any time, including but not limited to curriculum, resources, and materials.

Section 15: Participant Conduct

Compliance: Participants agree to comply with all applicable laws, regulations, and CodeVA's policies while participating in the course.

Respectful Behavior: Participants shall engage in respectful and professional behavior, refraining from any conduct that may be offensive, discriminatory, or disruptive to others, including but not limited to behavior that:

  • violates applicable laws regarding your use of the website;
  • is harmful to minors in any way;
  • is hateful or discriminatory based on race, color, sex, gender, religion, nationality, ethnic or national origin, marital status, disability, sexual orientation or age or is otherwise objectionable;
  • infringes, violates or misappropriates any third party's intellectual property rights or other proprietary rights or contractual rights;
  • is misleading, deceptive or fraudulent or otherwise illegal or promotes illegal activities;
  • is libelous or defamatory, or in a way that is otherwise threatening, abusive, violent, harassing, malicious or harmful to any person or entity, or invasive of another's privacy;
  • constitutes or contains any form of advertising, solicitation, spamming, or other activities including but not limited to personal businesses, services or enterprises; or
  • impersonates any other person, or falsely states or otherwise misrepresents your affiliation with any person or entity, or to obtain access to this Site without authorization.

Section 16: Technology Requirements

Participant Responsibility for Online Offerings: Participants are responsible for ensuring that they have the necessary technology, software, and internet access to participate in the course effectively.

CodeVA Responsibility for In Person Offerings: CodeVA will provide all necessary technology, software and internet access for participants to participate in the course effectively. Please do not send personal devices with participants.

Technical Support: CodeVA will provide reasonable technical support, but participants acknowledge that they are responsible for their own technology-related issues.

Section 17: Login Details and Account Security

Registrant Account: Registrants will be provided with login directions to access the registrants. Registrants agree to keep their login details confidential and not share them with any unauthorized individuals.

Account Responsibility: Registrants are solely responsible for all activities that occur under their account and shall promptly notify CodeVA of any unauthorized use or security breaches

Section 18: Force Majeure

Eventualities: CodeVA shall not be liable for any failure or delay in performing its obligations under these Terms of Service if such failure or delay is caused by circumstances beyond its reasonable control, including but not limited to acts of nature, government restrictions, power outages, or internet disruptions.

Notification: In the event of a force majeure event, CodeVA will make reasonable efforts to notify participants and mitigate any adverse impact on the course.

Section 19: Your Privacy

CodeVA is committed to protecting your privacy as explained in our Privacy Policy. Please review it carefully.

By registering for a camp or workshop with CodeVA, you acknowledge that you have read, understood, and agreed to abide by these Terms of Service.
